HYGIENE & INFECTION PREVENTION – INCLUDING COVID-19 (CONDITION OF ENTRY)

Iridis Cosmetics maintains high standards of hygiene, infection prevention, and cleanliness across all services, in accordance with applicable Victorian health regulations and industry best-practice guidelines for the hair, beauty, and makeup industries. These standards incorporate current COVID-19 management practices and form part of Iridis’ broader Infection Prevention & Control procedures.

As a condition of entry and service:

  • Clients must not attend appointments if they are unwell, experiencing cold, flu, or COVID-like symptoms, or have a confirmed contagious illness. In such circumstances, the appointment will be rescheduled.
  • If an Iridis team member becomes unwell, Iridis reserves the right to reschedule appointments at short notice.
  • Where Iridis reschedules an appointment, the client will be offered a new date, an alternative artist where available, or a refund upon request.
  • Where a client reschedules due to illness, the booking fee will be carried forward where reasonably possible.
  • Iridis reserves the right to implement additional hygiene or risk-mitigation measures (including, where appropriate, mask use or modified service delivery) based on a risk assessment at the time of the appointment.

Iridis applies standard infection-prevention precautions for every client and every service, including hand hygiene, sanitisation of tools and surfaces, ventilation, and professional cleaning protocols, regardless of a client’s apparent health status.

Offsite and mobile appointments are provided at Iridis’ discretion and may be relocated to Iridis HQ where necessary to ensure compliance with hygiene, safety, and infection-control standards.

1. PAYMENT METHODS & BOOKING FEES

Payment is required upfront for most services and Iridis will advise how and when this is to be paid at the time of the booking. Product purchases must be paid in full prior to release.

Accepted payment methods include:

  • Mobile EFTPOS (Visa, MasterCard, Debit Cards, and premium cards depending upon point of sale availability)
  • Bank Deposit (must be received by the specified date)
  • Cash
  • Afterpay

Depending upon the size and/or type of the job (for example a wedding or larger group booking), a non-refundable booking fee is required to secure your appointment. Iridis artists are booked well in advance; and your booking fee secures your date and is deducted from the total service cost.

If you cancel, the booking fee is forfeited. Transfers may be permitted at Iridis’ discretion.

2. QUOTES, PRICING & VALIDITY

All quotes provided by Iridis Cosmetics are valid for seven (7) days from the date of issue, unless otherwise stated in writing.

Quotes are based on the information provided at the time of enquiry, including the number of clients, services requested, location, timing, and logistics. If any of these details change, Iridis reserves the right to amend the quote accordingly.

Iridis Cosmetics reserves the right to review and update its pricing periodically. Prices may change without notice as part of scheduled annual or six-monthly price reviews, or in response to increased operating, staffing, supplier, or compliance costs.

A booking is not confirmed, and quoted pricing is not secured, until the applicable booking fee or full payment (as required) has been received. Once payment has been received, pricing for that booking will be honoured in accordance with the accepted quote.

3. CANCELLATION POLICY

  • Client cancellations: Booking fees are non-refundable and compensate Iridis for lost business.
  • Iridis cancellations: If Iridis cancels, your booking fee will be refunded or transferred.
  • Outstanding balances: All remaining balances must be paid before the service date unless otherwise agreed.
  • Corporate, Commercial & Government bookings: If cancelled after work has commenced, Iridis reserves the right to invoice for the full quoted amount.

4. SPECIFIC PAYMENT REQUIREMENTS

Unless otherwise stated below, all Iridis Cosmetics services must be paid in full, at the time of booking.

This requirement applies to all services provided by Iridis Cosmetics, including but not limited to:

  • Hair & Makeup for any type of events, special occasions, Spring Racing, male grooming, and similar engagements;
  • One-on-one or group Makeup Lessons, Glamtorials®, Vision Board Workshops, Confidence & Self-Esteem Workshops, and any other workshops offered by Iridis;
  • Beauty services, including but not limited to Brow & Lash Services, brow laminations, lash lifts, facial and other waxing services, skincare consultations, and facials;
  • Gender-affirming and trans makeup and feminisation services, including networking nights and related experiences;
  • Any type of photo shoots, photoshoot preparation services, personal branding services, online services, digital downloads, recorded workshops or similar content, eCourses, makeup artistry education or industry training programs;
  • Brand activations, beauty bars, pop-ups, community events, and experiential services; and
  • Any future services, experiences, digital offerings, pop-ups, activations, educational programs, or bespoke packages offered by Iridis Cosmetics or Peta-Gai McLaughlin.

Exceptions – Weddings, Corporate, Commercial & Government Services

The following services are excluded from the full upfront payment requirement and are subject to separate payment terms, unless otherwise advised:

  • Weddings:
A booking fee of 50% of the total quoted service cost is required to secure the booking, unless full payment is required in advance due to scheduling, scale, or logistics.

The balance of the quoted service cost is then payable 30 days before the wedding date, unless the booking was received close to the wedding date, in which case, the full cost of the wedding is payable in full at the time of booking.

  • Corporate, Commercial & Government projects:

These services may be secured via invoicing on strict 7-day payment terms, unless otherwise agreed in writing.

Iridis reserves the right to require full or partial upfront payment depending on the nature and scope of the project.

Where a corporate, commercial, or government booking is cancelled, postponed, or materially modified after work has commenced, Iridis reserves the right to invoice for all work performed up to that point, including but not limited to planning, preparation, consultation, scheduling, resource allocation, administrative work, and on-site or off-site services already delivered (part performance of the agreement). Any such invoice will reflect the reasonable value of the services performed.

Bookings are not confirmed until the applicable booking fee, deposit, or payment has been received. If payment is not received within the required timeframe, Iridis reserves the right to cancel or release the booking without notice.

If booking fees or payments are not received within 7 days, dates are not guaranteed and may be released without notice.

5. DIGITAL PRODUCTS, eCOURSES & ONLINE CONTENT

Iridis Cosmetics offers a range of digital products and services, including but not limited to eCourses, recorded workshops, downloadable materials, digital workbooks, and online educational content.

Once access to a digital product or online content has been provided, refunds are not available, except where required under Australian Consumer Law.

Clients are responsible for ensuring that digital products are suitable for their needs prior to purchase. If you experience technical issues accessing your digital content, please contact Iridis Cosmetics promptly so we can assist in resolving the issue.

Nothing in this clause limits or excludes any rights you may have under the Australian Consumer Law in relation to digital products.

6. MOBILE HAIR & MAKEUP SERVICES

Iridis Cosmetics offers mobile hair and makeup services at private residences, workplaces, and approved locations, subject to suitability and availability.

A minimum mobile service fee of $450 applies to all mobile hair and makeup bookings. This minimum fee covers up to three (3) services and applies regardless of whether the booking is for one client or multiple clients. This minimum may change according to the type of job.

For corporate or commercial jobs, the minimum call out is $1000, plus GST.

The minimum mobile service fee accounts for:

  • Local travel time
  • Set-up and unpacking at the commencement of services
  • Pack-down and repacking at the conclusion of services
  • Time required to not work on-site, including reduced capacity to service other clients during that period

For mobile bookings, per-person service rates still apply, which are inclusive of the minimum mobile service fee. Current indicative pricing is:

  • Makeup only: $200 per person
  • Hair & makeup: $300 per person

These rates are subject to change without notice. Clients are responsible for checking the current pricing on the Iridis Cosmetics website at the time of booking. Once payment has been received, pricing for that booking will be honoured in accordance with the accepted quote.

Where a mobile booking involves travel outside the local area, additional travel or time-based fees may apply, depending on distance, duration, and logistics. Any such fees will be advised in writing prior to confirmation.

If a client or booking party causes delays while Iridis is on-site, additional fees may apply in accordance with these Terms & Conditions and are payable on the day.

Not all services or locations are suitable for mobile delivery. Iridis reserves the right to determine whether a booking is appropriate for mobile services and may recommend that services be provided in-studio where this is more practical, or based on other bookings already in the diary, or is appropriate to do so.

Clients should note that in-studio services are offered at a lower rate than mobile services, as they do not require travel, on-site setup and pack-down, or extended service time that limits availability for other clients.

7. WEDDINGS & GROUP BOOKINGS – MINIMUM FEES, CANCELLATIONS & VARIATIONS

For weddings and group bookings requiring on-site or offsite service delivery, a minimum service fee of $650 applies. This minimum fee covers up to three (4) services and applies regardless of whether the booking is for one client or multiple clients.

This minimum fee applies regardless of the number of clients, services provided, or time spent on-site. Where the total value of services provided is less than $650, the minimum service fee of $650 will still be charged.

The minimum on-site service fee is exclusive of additional costs, which may include (but are not limited to):

  • Travel and call-out fees
  • Parking fees
  • Tolls
  • Early start surcharges
  • Additional artist or assistant fees

In-Studio Option

Clients may elect to have wedding or group hair and makeup services performed in-studio at Iridis HQ in Newport, where no minimum spend applies, subject to studio availability. Iridis is able to comfortably accommodate wedding and group bookings in-studio.

Cancellations, Reductions & Variations

For weddings or group bookings of three (3) or more clients:

  • Any cancellation or reduction in services within three (3) months of the booking date requires full payment of the original quoted amount, regardless of the number of services ultimately provided.
  • Reductions to the number of services or clients after acceptance of the quote do not reduce the total amount payable.
  • Additional services requested on the day may be able to be accommodated, but ideally should be pre-arranged, and are subject to artist availability, and must be paid in full on the day of service.

Bookings are not confirmed until all required booking fees, minimum service fees, and applicable charges have been paid. Iridis reserves the right to cancel or release bookings where payment has not been received in accordance with these Terms & Conditions.

8. TRAVEL, EARLY STARTS, QUOTE VARIATIONS & DAY-OF DELAYS

Travel costs for on-site or offsite bookings are calculated based on time and distance, taking into account kilometres travelled, petrol costs, and reasonable wear and tear on vehicles. Parking fees, tolls, and other related expenses may be charged to the client. Where multiple artists are required, additional travel or call-out fees may apply.

An Early Start Surcharge of $50 per half hour applies for any booking with a start time prior to 8:00am. Early start surcharges are applied at the discretion of Iridis and will be advised in writing. While Iridis may, at its discretion, negotiate early start fees in limited circumstances, this does not constitute a waiver of the surcharge.

Quotes are provided based on the information supplied at the time of enquiry. If there are any changes to previously agreed details, including but not limited to:

  • the service location,
  • the number of clients to be serviced,
  • the timing or schedule of services,
  • the makeup or hair brief, or
  • any other material factors,

Iridis reserves the right to amend or reissue the quote accordingly. Clients will be advised where a requested change results in a quote revision. Clients are responsible for reviewing these Terms & Conditions to understand how pricing is structured and applied.

In the unlikely event that services are delayed on the day due to circumstances outside Iridis’ control — including but not limited to client delays, late arrivals, changes to the agreed timetable, or other logistical issues — additional fees may apply. Such fees are charged at $150 per hour (or part thereof) and are payable on the day of service.

9. MAKEUP TRIAL PREVIEWS & CHANGES

Clients who decline a wedding makeup trial preview before the wedding will be allocated an additional 30 minutes on the wedding day to ensure extra time to discuss the look required, and make any changes required. Appropriate time for a consultation on the look is important. This incurs a $50 fee.

10. ARTIST AVAILABILITY

If your booked artist becomes unavailable for any reason, Iridis will provide a suitably skilled replacement at no additional cost.

11. CANCELLATION & NO-SHOW FEES

  • Short-notice cancellations:
If you cancel with less than five (5) days’ notice, a fee equal to 50% of the service cost will apply and is payable within three (3) days.
  • No-shows:
If you do not attend your appointment without notice, the full service fee will be payable within three (3) days, and any booking fee paid will be forfeited.
  • Late arrivals:
If you arrive more than 15 minutes late, we may need to reschedule your appointment, depending on availability and the impact on other bookings.

12. SERVICE REFUSAL & SMOKE-FREE WORK ENVIRONMENT

Iridis Cosmetics reserves the right to refuse, suspend, or terminate services at its sole discretion where client behaviour, environmental conditions, or safety concerns make it unreasonable or unsafe to proceed. This includes, but is not limited to, inappropriate behaviour, intoxication, aggressive conduct, or any situation that compromises the wellbeing of Iridis staff, contractors, or clients.

Iridis Cosmetics maintains a smoke-free work environment. Due to sensitivity to cigarette smoke and other forms of smoke, clients and third parties must not smoke in the vicinity of Iridis staff during services, including outdoor areas where Iridis artists are set up or working.

Where Iridis is providing on-site or offsite services, clients acknowledge and agree that:

  • Smoking must not occur near Iridis staff, equipment, or work areas;
  • If smoking is impacting Iridis staff while services are being provided, Iridis will request that smoking cease immediately; and
  • Failure to comply with a request to cease smoking may result in immediate suspension or termination of services, with no refund.

This clause applies equally to clients, members of the booking party, guests, and any third parties present at the service location.

13. IMAGE USAGE & CONSENT

Iridis Cosmetics loves celebrating the beautiful work we create together. From time to time, we may take photographs or short videos during or after your service.

Unless you advise us otherwise, you consent to Iridis Cosmetics using images of you (taken by us or provided with your permission) for marketing, social media, website, and promotional purposes.

If you prefer not to have your image used, you are very welcome to opt out at any time by simply letting your artist know during your appointment, or by advising us in writing before or after your service. Your choice will always be respected and will not affect the quality of your experience with us.

14. HEALTH, ALLERGIES, DISCLOSURE & CONTAMINATION LIABILITY

All clients must disclose any known allergies, sensitivities, skin conditions, eye conditions, or contagious, bacterial, viral, or fungal illnesses prior to services commencing. This obligation applies to the booking client and to any additional clients booked by them, including bridal party members or group bookings.

This includes, but is not limited to:

  • Conjunctivitis (pink eye), cold sores (herpes simplex virus), styes
  • Open wounds, cuts, cysts, or broken skin
  • Impetigo, fungal infections, ringworm
  • Severe acne with open lesions
  • Golden staph, boils, abscesses, or bacterial infections
  • Warts, molluscum contagiosum, viral skin infections
  • Head lice or nits
  • Any other transmittable skin, eye, scalp, or health condition

Depending on the condition, Iridis Cosmetics reserves the right to refuse or modify services to protect the health and safety of clients, staff, tools, products, and equipment.

Clients acknowledge that disclosure of relevant conditions is essential to allow Iridis to take appropriate hygiene and infection-control precautions and to minimise the risk of contamination of products, brushes, tools, and professional kits.

Where a client fails to disclose a relevant condition and contamination occurs, or is reasonably likely to have occurred, the client may be required to:

  • Pay for the replacement of contaminated products, tools, or brushes; and
  • Be responsible for any reasonable loss or inconvenience suffered by Iridis as a direct result of the non-disclosure, to the extent permitted by law.

Iridis Cosmetics takes hygiene, infection prevention, and safety extremely seriously. This clause operates in conjunction with the Service Refusal, Limitation of Liability, and Indemnity provisions of these Terms & Conditions.

Iridis reserves the right to refuse service to protect client and staff safety.

Patch testing is recommended at least 48 hours prior for sensitive skin.

15. LIMITATION OF LIABILITY

To the maximum extent permitted by law, Iridis Cosmetics’ liability for any loss, damage, injury, or claim arising from the provision of services is limited to the total amount paid for the relevant service.

16. INDEMNITY

You agree to indemnify and hold harmless Iridis Cosmetics, its directors, employees, contractors, and agents from any claims, losses, damages, or expenses arising from:

  • Failure to disclose relevant health or skin conditions
  • Inaccurate or incomplete information
  • Client behaviour
  • Third-party claims related to venues, images, or instructions supplied by the client

17. FORCE MAJEURE

Iridis Cosmetics is not responsible for failure or delay due to events beyond its control, including natural disasters, pandemics, power outages, government restrictions, or extreme weather. Rescheduling will be offered where possible. Refunds are not guaranteed.

18. CLIENT BEHAVIOUR

Rude, aggressive, intoxicated, or inappropriate behaviour will result in immediate termination of services without refund.

19. COMPLIANCE, INSURANCE, GOVERNING LAW & PRIVACY POLICY

Iridis Cosmetics maintains appropriate public liability and professional indemnity insurance and complies with all Australian health, safety, and council regulations.

These Terms & Conditions are governed by the laws of Victoria, Australia.

Personal information is handled in accordance with our Privacy Policy and the Australian Privacy Legislation.
